Client arrangements

The details before we begin.

A clear brief, an agreed price and a practical way to work together.

At a glance

  1. A price before I start. We agree the brief, finished work and timetable in writing.
  2. Clear payment terms. For projects of £200 or more, a 50% deposit, with the balance due within 14 days. Smaller projects are paid on completion, within 14 days.
  3. Room for feedback. Writing, lesson packs and quizzes include one consolidated revision round within the brief. Extra work is agreed before it is charged.
  4. Fair cancellation and clear ownership. You pay for work completed and approved unavoidable costs, subject to your statutory rights. Copyright I own in bespoke final writing transfers after full payment under a signed agreement, with existing and third-party material handled separately.

The full arrangements below explain the details. You are welcome to ask a question before booking.

Agreeing the work

I’m John Pascoe, trading as Pascoe’s Pen, a freelance writer and editor based near Liskeard, Cornwall, UK. Contact me at john@pascoespen.co.uk.

Business address:
John Pascoe
20 Gwelmeneth Park, St Cleer, Liskeard, Cornwall PL14 5HU

Before work begins, I send a written quotation setting out the brief, audience, deliverables, file formats, timetable, total price, payment arrangements and included revisions. You can keep a copy. The quotation will identify any agreed expenses or applicable taxes, so you know the total before committing. My minimum project fee is £40.

We agree the quotation and these arrangements in writing before I start. Any project-specific variation must also be agreed in writing and cannot remove a consumer’s statutory rights. Making an enquiry does not commit you to a purchase.

The services and prices page explains the starting scopes. Website and business writing covers copy only. Design, development and uploading are not included. Research, interviews, specialist checking and third-party material are included only where the quotation says so.

Payment

  • Projects under £200: payment on completion, within 14 calendar days of the invoice date.
  • Projects of £200 or more: a 50% deposit before work begins, with the balance due within 14 calendar days of the final invoice.
  • Larger or longer projects: an alternative deposit or staged payments can be agreed in the quotation before booking.

Payment is by bank transfer using the details on my invoice. I confirm receipt of a deposit and the agreed start date. Any deposit is part-payment towards the project, not an additional charge. Its treatment if work is cancelled is explained below.

If payment is likely to be late, please contact me. I will discuss the position with you before pausing further work or agreeing a revised timetable.

Feedback, revisions and changes

Writing, lesson packs and quizzes include one consolidated round of revisions within the agreed brief. Please bring feedback together in one response. The quotation will set a practical review timetable.

Editing and proofreading include the agreed level of intervention, with questions and corrections discussed as needed. A fresh pass after substantial rewriting or the addition of new text is separate work.

I correct errors I have introduced, or work that does not meet the agreed brief, without an extra charge. This does not use up the included revision round or limit any rights you have under consumer law.

A new direction, additional material or a changed scope may affect the price and delivery date. I explain any additional fee and get your agreement before doing the extra work.

Timetables and delivery

We agree delivery dates around the supplied material, feedback and any deposit. If either of us encounters a delay, we discuss it promptly and agree a workable next step. Delayed feedback does not count as automatic approval.

I deliver the work in the agreed file formats. Please check names, supplied facts and other details you are best placed to verify, and tell me about any concern promptly. This does not reduce my responsibility to carry out the agreed work with reasonable care and skill.

Cancellation or postponement

If your plans change, please tell me as soon as possible. Outside any statutory right to cancel, I charge only a fair proportion of the agreed project price for work completed up to cancellation, plus unavoidable third-party costs you approved in advance. There is no separate cancellation penalty, no charge for work I have not done, and no double charging.

I provide a breakdown, deduct any deposit already paid and refund any excess within 14 days. Any amount still due is invoiced on the usual 14-day terms. The charge will not exceed the agreed project total, including any separately approved expenses.

If you need to postpone, we agree whether the project can move to a new date. If I cannot complete a commission, I tell you promptly and refund payments for work I cannot provide. Your statutory rights remain unaffected.

If you are buying as a consumer

If you commission a service mainly for personal purposes by email or another distance method, you normally have the right to cancel without giving a reason until the end of 14 days after the day the contract is agreed.

I normally wait until that period has ended before starting. If you would like an earlier start, I ask for your express request in writing and explain the consequences before work begins:

  • You can still cancel while the service is being carried out. Where the required information and request have been provided, you pay only for the proportion supplied up to cancellation.
  • You lose the cooling-off right once the service has been fully performed only if you requested the early start and acknowledged beforehand that completion would end that right.

I confirm the contract, cancellation information and any early-start request by email in a form you can keep. A deposit does not remove your cancellation rights. Where a statutory cancellation refund is due, I make it within the applicable 14-day period, deducting only a proportionate charge that the law permits.

To cancel, send a clear statement to john@pascoespen.co.uk or use the postal address given with your quotation. You may use the form below, but you do not have to.

These arrangements cover commissioned services. Any separate sale of printed books or ready-made digital products will have the relevant price, delivery and cancellation information supplied before purchase.

Copyright and use of the work

You keep any rights you already hold in material you supply. You must have permission to share and use any third-party material included in the brief.

Bespoke commissions: after full payment, I transfer to you any copyright I own in the agreed final original writing created specifically for your commission. The transfer is recorded in a written agreement signed by me. If a publication or another project needs different licensing arrangements, these are set out in the quotation before work begins.

Pre-existing material, reusable templates, standard question-bank material and third-party content are excluded from that transfer. Where any of these are included, the quotation identifies them and the permission you have to use them. Unused drafts and ideas are not included unless we agree otherwise.

I do not publish client work, name you as a client or use identifiable samples in my portfolio without separate permission.

Confidentiality and AI use

I use supplied material only for the agreed work and handle personal information as explained in my privacy notice. Please discuss any special confidentiality, security or data-processing requirements before sending files.

I use identifiable or confidential client material with an AI service only after agreeing the particular service and its use with you. Any additional privacy information and safeguards are settled before sharing material. Commissioning work is not blanket permission to upload it to an AI service.

Questions or concerns

If something is wrong, email john@pascoespen.co.uk with the project details and what needs attention. I will look into it and discuss a practical remedy with you.

I carry out services with reasonable care and skill. Where consumer law entitles you to repeat performance, a price reduction or another remedy, these arrangements do not restrict that right. No wording on this page excludes liability where doing so would be unlawful.

These arrangements and the written quotation form the agreement for the commission. Changes apply only when agreed for that project. They do not change an existing contract retrospectively.
